Stichbook is an organization-based tool. Organizations are registered and closed on the web, and the individual staff logins inside one — administrators, operators and Karigars — are created and revoked by the organization's own super-admin. The mobile apps have no sign-up. Deleting therefore comes in four forms, three of which you control yourself: deleting one record, erasing all your records, deleting the whole organization, and removing one administrator login, which we do for you on request.
Option 1 — Delete a single record (and change your mind)
Deleting one employee, advance, machine, production entry, machine report or saved payroll does not destroy it straight away. It goes to Recently Deleted — your organization's recycle bin:
- The record disappears from the app immediately for everyone in your organization, and stops counting towards anything.
- For 7 days any administrator can open Settings → Recently Deleted and restore it, exactly as it was.
- A super-admin can end that early with Delete forever, which destroys the record and its photo on the spot.
- Anything still in the bin after 7 days is purged permanently by a nightly job. Nobody, including us, can bring it back after that.
Attendance is deliberately not binned — it is saved as a whole day at a time. A deleted employee's attendance is simply hidden along with them, and comes back if you restore them.
This is the option you want for an ordinary mistake. Options 2 and 3 below are bulk actions with no undo at all.
Option 2 — Erase all your records, keep the organization (self-service)
A super-admin can permanently erase your organization's operational data — while keeping the organization and everyone's logins — using the Empty Database action. Unlike Option 1 this does not go to Recently Deleted; it is destroyed as you confirm:
- Open the Stichbook app (or the web app) and sign in as a super-admin.
- Go to Settings.
- Tap Empty Database.
- Re-enter your password to confirm.
This permanently deletes all records for your organization — employees, attendance, advances (upad), production, saved salary reports and machines. That covers both halves of the app — Workforce and Production sit on one shared workspace — and every entry the Stichbook Staff app has uploaded for your organization.
This cannot be undone, and nothing it removes passes through Recently Deleted. Logins and organization settings are kept, so you can keep using Stichbook with a clean slate. To remove the organization itself and everyone's logins with it, use Option 3 instead.
One thing it does not reach: the stored photos and voice notes themselves. The entries that referenced them are gone, so nothing in the app can open them again, but the files sit in your organization's private storage until the 3-month retention limit removes them. If you need them gone at once, use Option 3, which deletes the storage too.
Option 3 — Delete your whole organization (self-service)
A super-admin can close the organization outright from the Stichbook web app. This is the complete deletion — the organization, everyone's access and every file — and it takes effect immediately.
- Open the Stichbook web app at app.stichbook.in and sign in as a super-admin.
- Go to Settings → Data.
- Choose Delete Organization.
- Type your organization's name to confirm, then re-enter your password.
This permanently deletes everything Empty Database removes, plus the organization itself, its settings, its subscription record, every administrator and operator login (including your own), every Karigar login, and every uploaded photo and voice note — including anything sitting in Recently Deleted.
This cannot be undone and there is no grace period. Everyone signed in to Stichbook and Stichbook Staff for your organization loses access straight away, and nothing can be recovered — not even from Recently Deleted. Only a super-admin can do this.
Option 4 — Remove a single administrator login (request)
To remove one administrator login while keeping the organization running, contact us and we will action it for you through the Stichbook admin console. (To delete the organization entirely, use Option 3 — you do not need us for that.)
Email your request to hello@16pixel.design and include:
- Your organization name.
- The phone number of the administrator login to remove.
- Confirmation that you are authorised to make the request on the organization's behalf.
For your security, we may verify that the request comes from an authorised administrator before deleting anything.
What gets deleted

Timing
Deleting a single record hides it from your organization immediately, but it is only destroyed when a super-admin chooses Delete forever or when the 7-day retention window closes — whichever comes first.
Empty Database and Delete Organization take effect immediately — the records, logins and files are removed as you confirm, not queued for later, and neither passes through Recently Deleted. Requests handled by our team (Option 4) are actioned as soon as we can verify them, typically within a few business days.
